The productivity and daily planning system I’m going to share with you is a combination of Chet Holmes time planning strategy as well as Dan Kennedy’s time management strategy with my own twist applied to make them work perfectly together…

In Chet’s must read book The Ultimate Sales Machine, I was introduced to his way of prioritizing which completely changed the way I think and act on a daily basis. 

Also in Dan Kennedy’s book No B.S. Time Management (which is another absolute must read) Dan walks you through how he uniquely structures his day and some of his methods which may seem counter-intuitive at first but when practiced, they let you take charge of your time, be ruthless with those who waste it and only focus on profit producing activities…

What I have done is taken these two strategies that were similar but each had their own strengths, combined them with my own time management and productivity secrets and made them all the more powerful together...

Let’s dive deep into the seven steps to productivity magic…
Step 1: Prepare
I’m sure you heard the saying: "fail to prepare and prepare to fail". 

There’s a reason you’ve probably heard it so many times by so many different successful people. It’s true. And nowadays more so than ever… 

Sure you can’t be fully prepared for everything, but you wouldn’t expect your GPS navigation to know how to get you where it is you want to get to UNTIL you actually told it where you want to go right?

The same goes for your ability to get things done. You first must know what it is you need to do…
Here’s what you’re going to do. You’re going to right down all of your tasks that you must get done for your day. No matter how small or great, write them down.

And here’s the best part. You’re going to do it the NIGHT BEFORE the day you have to do them. What I want you to do is to take just minutes every evening to write down all the tasks that you need to do the next day…

Why the night before? 

Well this is something I’ve learned from my mentor Dan Kennedy and from Dr Maxwell Maltz, author of Psycho Cybernetics. By the way, if you haven’t read psycho cybernetics, you’re doing yourself a dis service. Get it read it, and take action on it.

One of the core elements within psycho cybernetics is using what’s called your ASM or automatic success mechanism. All of us, no matter your colour, race, size, stature, up bringing or tendencies are goal striving mechanisms by design.

In that, we’re constantly striving to achieve a goal whether we not it or not or whether we even think we have goals…
The majority of this is done on autopilot by our subconscious mind…
Now before you think, here comes with "woo woo train" with the "rar rar music" blaring… bear with me…...
Think of your brain like a torpedo and think of your goals like the target. When a torpedo is fired from a submarine, does it just go from A to B in one straight line? No, it zigs and it zags, course corrects along the way until it hits it’s target right?

Well, that’s essentially the same as our ASM (automatic success mechanism)

And because it’s powered by our subconscious mind, we can in fact get our subconscious mind to do the heavy lifting for us by preparing the night before…

Here’s what I mean…

When you prepare the night before and write down all the things you need to do the next day, what you’re doing is telling your ASM that these are the things you want to focus on tomorrow. 

Then like magic, your subconscious mind will go to work for you while you’re sleeping and when you wake up and start your day, you’ll know exactly what to do and you get cracking immediately…
Listen, it sounded strange the first time I heard it too…
I was listening to one of my mentors Dan Kennedy’s training's where he outlined how he uses this for when he’s writing copy. I said to myself, this sounds too funky, to be true, but hey if Dan the man is doing it, I’ll give it a whirl…

Did it work?

Of course it did my dear Watson, otherwise why would I be here telling you about it? :)

So to recap, your first step is going to be to take 5 minutes every night and write down ALL the things you have to do the next day…

Once you do that you’re going to want to move onto Step 2 and Step 3: Prioritize and Assign

This is the next stage in the process…
Step 2 & Step 3: Prioritise and Assign
You’ve got all the things down on paper that you need to do the next day…

Next up is you’re going to prioritize them and rank the six most important tasks for the day.

This was something I learned from Chet Holmes, I used to try and do 15 things a day, then only 1 big thing then 3 and now after Chet’s advice I focus on six, it’s a small enough number that it’ not scary and it’s big enough to ensure progress...

Plus if you average one hour per task, then adding in time for lunch, small breaks and checking email etc. you’ll pretty much be covered for an average 8 hour day.

Now if you’re like me, you probably don’t have 8 hour days on average since you’re more than likely an entrepreneur or you’re working for yourself so you probably work much longer but still, just focus on your SIX MOST IMPORTANT TASKS...
What you’re going to do is rank your tasks in order of importance 1-6.
Once you have them ranked in order what you’re going to do now is assign a specific amount of time to that task…

Say for example one for your tasks for the next day is that you have to write a 1,000 blog post for your website. Imagine it usually takes you about 60 minutes to write and post a blog post. Here then, you would assign 60 minutes to that task.
You will then do the exact same with all of your 6 most important tasks. 

Try and make sure that your six tasks don’t go over a full day’s work – if they do, you should be splitting those tasks into smaller tasks because they are too big…

Once you’ve assigned a specific amount of time you’re now ready to schedule…
Step 4: Schedule
Let’s quickly recap, you’ve prepared your list of tasks you need to get done, you’ve prioritized your six most important and you’ve assigned a specific amount of time.

The next step is you’re going to schedule your six most important tasks into your day for tomorrow.
The beauty of scheduling them into your day is threefold:
  • 1. They’re in your day, your calendar and you’ve blocked off time to do them.
  • 2. Because you’ve scheduled them and you have assigned a specific amount of time to each task you have a start time and a END TIME. One of the biggest time zaps is having no end time to tasks, meetings etc. Now you won’t suffer from that ever again.
  • 3. Finally, when they’re scheduled in your calendar, you limit your exposure to time vampires. In case you’re not sure what I mean, time vampires are people who do nothing but suck your time (and will to live) dry and leave you drained with no energy to do anything else…
One thing I will say is that you need to start with your MOST IMPORTANT TASK FIRST…

Remember you ranked your important tasks 1-6?

Well you just start with scheduling task number 1 first, then 2, 3 and so forth…
If your six tasks don’t fill the day then you can add in your other tasks…

Are you starting to see how powerful (and simple) this is and will be for your daily productivity and profit?

The beauty is in its simplicity, no fancy software, nothing, all you really need is a piece of paper, or if you’re interested in something a hell of a lot better than scraps of paper, you’ll love what I have for you…

Anyways, before we get to that, let’s tackle the next step…
Step 5: Act
This step is fairly straight forward; you simply get to work on your tasks for the day…

The hard work will be done for you because remember, your subconscious will have been working hard for you overnight preparing everything you need to tackle your tasks the next day…

This is going to be a massive time saver for you, without a doubt…

I will say one thing about Step 5…

While working on your tasks for the day have your phone on silent or off completely…

Like in the piece I shared earlier from good ol Dan, distractions form your smart phone are the biggest time zaps so while you’re working on your tasks don’t use either your Smartphone or the internet.

The exception is obviously if you need either to complete your task…

What you’ll want to do is schedule in checking of emails and making/returning calls into your day…

This is when you start to take back control of your time and you’re not under the thumb of everybody else’s priorities…

Brendan Burchard once shared a quote which I thought was fantastic…

"Your email inbox is just a very neat and tidy way of organizing other people’s priorities ahead of your own… "

I love this quote because he’s absolutely right…
Remember:
  • 1. Focus on your most important tasks first .
  • 2. No email or internet while working on your tasks .
  • 3. Schedule in time in your day to respond to email and return/make calls .
Step 6: Gratify
This step is all about showing gratitude, of living with an abundance mentality and no matter what happens that you be grateful everyday…

Listen, when you start implementing this in to your life (with or without my system) you will see massive results…

BUT…
That doesn’t mean the sh*t won’t hit the fan, it will...
No matter what happens, you’re going to have days that are just flat out crap and for whatever reason you get nothing done. You’ll also have days where you feel like going insane and taking your anger out on that dumb dumb at the office…
 
The key here with Step 6 is that no matter how great or how crap your day is you show gratitude and thanks everyday…

This simple task of writing down three things you’re grateful for (even when you’ve had the worst day ever) puts everything in perspective and helps bring you back so you can focus on what the most important things are in life, your health, your happiness and your family/friends…

How I like to structure the three things I’m grateful for is to focus on:

1. Personal
2. Business
3. Other

This is my way, you may or may not want to adopt it… but whatever you choose to be grateful for, be grateful either way…
Step 7: Repeat
The final step is what’s going to be the glue that holds all of this together…

Repetition, repetition, repetition!

Only when you apply these strategies consistently will it become a system… and when it’s a system it becomes automatic and then you’ll start to feel like your goal achievement is on autopilot and that my friend is pure magical…
